AI Policy for ENERGYWERX Meetings & Webinars

To ensure meaningful and authentic interactions during virtual meetings and webinars, ENERGYWERX has adopted an AI Policy that strictly prohibits the use of .ai bots.

The AI Policy aims to preserve the integrity of discussions, prevent automated interference, protect proprietary information, and maintain a high-quality experience for all.

By excluding .ai bots, ENERGYWERX seeks to foster genuine engagement, promote a collaborative environment, and ensure that all contributions come from real individuals.

ENERGYWERX’s .ai Notetaker Policy

ENERGYWERX recognizes the significance of technological advancements, which include AI-driven solutions, in enhancing productivity and accessibility for our ecosystem. However, the AI Policy below focuses on confidentiality and safety concerns for ENERGYWERX and the Department of Energy (DOE) to protect sensitive information as well as our commitment to proprietary business and over all collegial confidentiality.

Moving forward, .ai notetaker services are subject to the following guidance:

AI Policy for ENERGYWERX Meetings & Webinars

No .ai notetakers will be allowed to join ENERGYWERX group meetings.
ENERGYWERX will actively remove .ai notetakers from these meetings.
Repeat offenders (using .ai bots) will also be removed from meetings/webinars and will no longer be invited/permitted to participate.
Additionally, Selectees are encouraged to remove .ai notetakers from their virtual events if an attendee does not consent to being recorded.

CAVEAT #1 - Exceptions to this policy for Accessibility issues:

‍With prior coordination, ENERGYWERX permits the use of assistive technologies and notetakers for people who require accommodations to fully participate in the experience. As such, please email info@energywerx.org at least 48 hours in advance if the use of assistive technology is required for participation at any ENERGYWERX virtual event.

* NOTE: the absence of your .ai bot from the list above does not mean that it is permitted in ENERGYWERX’s virtual event.

Notice for all parties interested in ENERGYWERX events and programs: Announcement of ENERGYWERX events that are considered to have a high potential for further efforts that may be accomplished via FAR-based contracting instruments, Other Transaction Authority (OTA) for prototype projects 10 USC 4022, prizes for advanced technology achievements 10 USC 4025, and/or prize competitions 15 USC 3719, may be made at the www.energywerx.org website. All announcements made at the www.energywerx.org website are considered to satisfy the reasonable effort to obtain competition in accordance with 10 USC 4025, 15 USC 3719 (e) and 10 USC 4022. All FAR-based actions will follow announcement procedures per FAR 5.201(b) accordingly.
